At Apex Racket and Fitness in Portland, Maine, we require a minimum of 24 hours’ notice to cancel any court rental, indoor golf room rental, clinic, private lesson, or fitness class reservation. Cancellations made with less than 24 hours’ notice may be subject to the full charge for the booking.

Junior Clinic Sessions:

For junior tennis clinics, full payment for the session is required before the 1st class of the session start date and will be billed to the credit card on file. This policy ensures we can maintain court and instructor availability for all students while providing the highest quality programs and services.

Adult Clinics:

For all Adult clinics, full payment for the clinics is required at the start of a clinic and the fee will be billed to the credit card on file. This policy ensures we can maintain court and instructor availability for all students while providing the highest quality programs and services. We require a minimum of 24 hours notice to cancel out of a clinic without being charged. Clinics are organized to an instructor to student ratio and canceling effects this ratio.

Junior Make-up policy:

Students who miss clinics for medial emergencies or serious injury (doctors note required) will be granted credit toward their account for future clinics, Apex holiday camps or summer camps. These must be approved in advance by the Director of Tennis. A doctors note maybe required.

Junior Summer Tennis Camps cancelations:

A 30-day advance notice is required for any withdrawal from our Junior Summer Tennis Camp to be eligible for a refund. No refunds will be granted for cancellations made within 30 days of the camp start date.

Court Use & Etiquette Policy:

Apex Racket and Fitness is a public indoor tennis and teaching facility, open to all players. As part of our mission to grow the game, our courts are frequently used for junior programs, lessons, ball machine rentals, court maintenance and other activities. Please note that while we strive to create a positive playing environment, the courts will not always be completely quite—occasional music or program activity may be present.

We ask all members and guests to practice good court etiquette, including respect for others’ play and awareness of shared space. If a concern arises with another court that cannot be resolved directly in a courteous manner, please alert the front desk staff, and we will do our best to resolve the situation promptly.

Inappropriate or disrespectful comments to staff will not be tolerated. Our team is here to help, and we expect all interactions to remain courteous and professional.

Physical altercations, aggressive behavior, or harassment of any kind will not be tolerated and will be addressed appropriately by management. Our goal is to provide a safe, respectful, and welcoming environment for everyone to enjoy the game of tennis.

Junior Program Auto-Enrollment and Cancellation Policy

Participants currently enrolled in a junior program session will be automatically enrolled in the next session to maintain continuity in programming and scheduling. If your child will not be continuing into the next session, we require a minimum of 30 days written notice prior to the start of the upcoming session.

Payment cards on file will automatically be charged at the 30-day mark prior to the start of the next session. A valid payment card must be kept on file for payment processing. If you do not wish to continue enrollment, notice must be provided prior to the 30-day mark to avoid charges.

If a payment is declined or unable to be processed, the participant’s spot in the program is not guaranteed and may be forfeited if payment is not resolved promptly.

A 72-hour cancellation policy applies from the start date of each program session. Cancellations made more than 72 hours before the session start date may be eligible for a refund. No refunds will be issued for cancellations made within 72 hours of the program start date or after the program has begun.

Apex Credit Card Authorization and Payment Agreement

By checking the box below, I authorize Apex Racket and Fitness (“Apex”) to charge the credit card or other payment method maintained on my account for any unpaid fees, charges, purchases, memberships, services, programs, lessons, clinics, court or room reservations, retail purchases, or other amounts owed to Apex.

I acknowledge and agree that fees may be charged in accordance with Apex’s published policies, including but not limited to cancellation and no-show policies. I understand that reservations for lessons, clinics, fitness services, court bookings, and other club activities may be subject to charges if not canceled within the required notice period, as established by Apex from time to time.

I agree to maintain current and accurate payment information on file and to promptly update Apex regarding any changes to my credit card, billing address, or other payment information.

In the event of any billing question or dispute concerning a charge made by Apex, I agree to contact Apex and make a good-faith effort to resolve the matter directly before initiating a chargeback or payment dispute with my credit card issuer or financial institution, to the extent permitted by applicable law and the terms of my cardholder agreement. Nothing in this agreement shall limit any rights afforded to me under applicable law or by my payment card issuer.

This authorization shall remain in effect until revoked in writing by me and accepted by Apex, provided that any outstanding amounts owed prior to such revocation shall remain due and payable.
